When we talk about “Lynk & Co”, “we”, “us” or “our” we refer to LYNK & CO International AB (a company registered in Sweden with organizational number 559151-8161). We are responsible for the processing of your personal data (the controller).

The below sections describe in detail why we process your personal data, which personal data we process, the lawful basis for the processing and for how long your personal data will be stored. Generally, you are free to choose if you want to provide your personal data to us, but in some cases it is necessary for you to provide personal data to us, e.g. when we need your personal data in order to fulfill a contract with you or to comply with legal requirements. When you interact with us online

When you use our website we will, with the help of Google, use information on your browsing of our website to analyse your use of our website. In an effort to protect your privacy, the personal data we have access to is only your IP address in pseudonymized form and comprises compiled statistics, which makes it more difficult for us and other actors to connect your browsing information to you as an individual. Your comments or posts at our social media platforms can be deleted by you at any time and you can always ask us to remove your personal data from our social media platforms. We will otherwise store the personal data on the social media platform until further notice.
We will remove posts or comments in breach of the rules of the platform or in conflict with legislation as soon as possible.

If your message generates a case for our customer service, that information may be stored for up to 24 months.

 

When you sign up for our newsletter

Sending you newsletters 

We collect your personal data directly from you when you subscribe to our newsletters.

We use the information you give us to send our newsletters adjusted for your specific market.

We gather statistics around email opening and clicks using industry standard technologies including clear gifs to help us monitor and improve our e-newsletter.

What we do
If you choose to unsubscribe to marketing from us, we will store your personal data in an “unsubscribe-list” to make sure we do not send any marketing to you again.

The processing is necessary to comply with legal obligations to which we are subject, i.e. marketing law which require us to not send marketing material to individuals who have objected to receiving such marketing.

You will be listed in our “unsubscribe-list” until further notice or until you choose to subscribe again or ask us to delete your data. 

 

 

 

 

When you participate in one of our events and/or competitions

We collect your personal data directly from you when you sign up or participate in competitions and/or events. If you participate in a competition or sign up for an event through a social media platform, we will also process information from your social media account.

Your personal data will be stored by us during the time the event is ongoing. 
Pictures and/or film clips of you taken during the event you have participated in might be stored for a longer period of time, as stated below regarding our publishing of photos and videos.

We may take and post pictures and film clips of our events to promote and inform people of our activities, products, services etc. If you participate in one of our events, you might be visible in this material.

Pictures of you from the event, Film clips of you from the event, We might also include other information about you, such as e.g. your name.

Our legitimate interest to process your personal data to promote and inform the public of our activities, products, services etc.

Consent.
If we have taken close-up pictures or film clips of you, we will ask for your consent prior to posting the picture and/or film clip.  

 

How long will we store it
If we have posted a picture and/or film clip of you, the picture and/or film clip will remain on the relevant website, social media channel or similar until you ask us to remove it. If you ask us to remove it, we will cease to use the picture and/or film clip. We sort out pictures and film clips stored in our databases every two years. 

 

When you become a member

 

Setting up your Lynk & Co account 

 

What we do
We create your profile using the information you provide. Your profile is your Lynk & Co identity and will be used in different situations to identify you as our customer. You will also get notifications and/or updates about your account or other services, based on your preferred method of communication.

 

What data we use
Name, Email address, phone number, date of birth, account password, any additional contact information you may choose to provide.

Performance of contract. 
The processing is necessary for us to fulfill the contract concerning your Lynk & Co account.

We will store your personal data until you choose to delete your Lynk & Co account.

 

 

 

Inviting members

 

What we do
If your friends also have Lynk & Co accounts, they will be able to see that you have an account. This allows them to e.g. invite you to use their Lynk & Co car as a guest user.

What we do
If you choose to participate, we will use your Lynk & Co account information to create a Co:Lab profile, and communicate with you about your Co:Lab contributions.

Lynk & Co Account data, Co:Lab username, photo, information about ideas and comments that your post in the community.

When you sign up to our Ingroup community

What we do
We enable you to sign up for Ingroup and communicate with you regarding your participation in customer surveys and meetings . Analyse and assess the information you provide when you sign up for Ingroup to e.g. know what surveys to send you or to which meetings to invite you.

Name, Age, Gender, Email address, Information on whether you have access to a car and a driver’s license, Other information you choose to give to us (e.g. occupation and field of work, income, nationality, accommodation and family situation).

Consent.
You provide your consent to the processing. You can withdraw such consent at any time.

 

How long will we store it
We will store your personal data until you notify us that you no longer wish to be a part of the Ingroup community and receive surveys or invitations from Ingroup. If you have been inactive in Ingroup for more than two years, we will contact you and ask you if you wish to leave the Ingroup community.

 

 

 

Administer the surveys


What we do
We send customer surveys to you and analyse the results of such surveys. We compile statistics based on the answers we receive in surveys.

We will store your personal data for the purpose of sending out surveys until you notify us that you no longer wish to be a part of the Ingroup community. If you have been inactive in Ingroup for more than two years, we will contact you and ask you if you wish to leave the Ingroup community.

What we do
We send invitations to meetings and focus groups to gather your opinion on our services, plans and ideas (perform customer research).

How long will we store it
The recruitment profile you create and the information it contains will be kept up to 24 months, to allow you to apply for several jobs without having to recreate the profile. After that time, you will be asked if you want to extend it, otherwise it will be deleted.

 

 

 

 

Balance of interests’ tests when we process data based on the legal basis “legitimate interest”

As we state above, for some purposes, we process your personal data based upon our “legitimate interest”. By carrying out a balancing of interests’ assessment concerning our processing of your personal data, we have concluded that our legitimate interest for the processing outweighs your interests or rights which require the protection of your personal data.

Who can gain access to your personal data and why?

Your personal data is initially collected and processed by us at Lynk & Co and your personal data will be shared with third parties as set out below. 

• If you visit our website, we use a third party (Google) which on our behalf and on our instructions analyse the use of our website and therefore will receive access to your personal data. The information shared is pseudonymized and mainly comprises compiled statistics, which makes it more difficult for us and third parties such as Google to connect your browsing information to you as an individual. 

• If you interact with us or visit our social media accounts, the social media platform that you use will process personal data about you as a user. These social media platforms are either processing your personal data based on our instructions or are controllers in their own right for their processing of your personal data. What role they have in a particular case depends on the specific platform and activity.

• We will share your personal data with our IT-suppliers who will process your personal data on our behalf and on our instructions in order to ensure good and secure IT-operations. We only share your personal data with our IT-suppliers if it is necessary in order for them to fulfil their obligations towards us according to the contract that we have with them. 

• If you subscribe to our newsletters, we share your personal data with the IT -suppliers that helps us to send the newsletters and monitor openings and clicks in newsletters effectively. We only share your personal data with our IT-suppliers if it is necessary in order for them to fulfil their obligations towards us according to the contract that we have with them.

• We will also share some of your personal data with companies within our company group. Geely is the provider of our cloud and IT-system, hence they need to access and process some of your personal data in order to e.g. perform support services. Companies within our company group also helps us to e.g. develop our website which at times requires them to process your personal data. When sharing data within our company group in this manner, we have entered into agreements making sure there are measures in place to protect your data.

• When you buy something online your personal data may be transferred to our partners or other suppliers in order to deliver the product to you, e.g. if you receive your product but want to refund it, we may need to send your contact details directly to the partner in order for them to process your refund.

Where is your personal data processed?

We, as well as our processors, mainly process your personal data within the EU/EEA. When you use our website, your personal data might however be processed in the USA since we use services from Google. 

Some of your personal data might also be processed in China since we receive assistance from companies within our company group in relation to e.g. the development of our website which at times requires them to process your personal data. 

In order to protect your personal data during our international data transfers, we have agreements in place for the sharing of personal data and have entered into a set of Standard Contractual Clauses. The latter are model contracts decided by the European Commission to provide sufficient safeguards on data protection for personal data to be transferred internationally.

What are your rights when we process your personal data?

Right to object to processing

This can be the case if we can show compelling legitimate reasons for the processing that outweigh your interests or if it is for the purpose of establishing, exercising or defending ourselves against legal claims.

Right to information and access

You have the right to obtain confirmation as to whether or not we are processing personal data about you and information about the personal data that we process, such as the purposes of the processing, categories and recipients of your personal data, and for how long we store your personal data. Right to rectification

You have a right to correct or update any inaccurate personal data concerning you that we process and to ask us to have incomplete personal data completed. We may need to verify the accuracy of the new data you provide to us.

Right to erasure (“the right to be forgotten”) and restriction of processing

Under certain circumstances, you have a right to request that we delete your personal data. This is the case for example where the personal data is no longer necessary for the purposes for which they were collected or otherwise processed, or you withdraw your consent on which the processing is based and where there is no other legal ground for our continued processing for your personal data.

That is the case for example when the accuracy of the personal data is contested by you, or the processing is unlawful, but you do not want us to delete it and instead you request that we restrict our use of it.

 

Right to lodge a complaint to a supervisory authority

You have a right to ask us to transfer, to you or to another controller (e.g. another company), the personal data we have in relation to you, where technically feasible (“data portability”), provided that our processing is based on consent, or on a contract and our processing is carried out by automated means.

Right to withdraw your consent
